A garage invoice must clearly separate parts from labor and link the service to a specific vehicle. This free template follows this structure and includes the required information.
Download it, fill in your header once, and use it for every repair.
The general terms of an invoice apply, but three elements specific to car repair are added, and these are what make the difference in case of dispute.
Vehicle identification. Make, model, registration number, and mileage at the time of service. Without this information, the invoice cannot prove which vehicle the work was carried out on, which causes problems for both the warranty and resale.
The separation of parts and labor. Each part is listed with its reference, quantity, and unit price. Labor costs are shown separately, with the number of hours and the applicable hourly rate, or as a clearly defined flat rate.
The link to the order of repair. This document describes the nature of the service and formalizes the client's agreement. Including its reference number on the invoice links the two documents and completes the file.
The file follows the order in which a customer reads their invoice.
The header bears the identity of the garage: name, legal form, address, SIRET number, number in the trade register for a craftsman, and intra-community VAT number.
The customer and vehicle block gathers the customer's details, registration, model and mileage, as well as the invoice number and date.
The table of parts List each item with quantity and unit price.
The workforce table distinguishes between the hours billed and the rate applied, or the flat rate retained.
The footer It includes the total excluding tax, the VAT, the total including tax, the payment terms and any warranty information.
These two documents precede the invoice and secure it.
The repair order It describes the nature of the intervention and constitutes the client's agreement on what will be done. It serves as the reference in case of any subsequent disagreement regarding the scope of the work.
Le quote It details the work to be carried out, its costs, and the deadlines. The administration explicitly recommends this for significant projects. In practice, a written estimate accepted resolves almost all disputes regarding the final amount.
A useful legal point to know for drafting your documents correctly: the garage owner is required to results requirementThe responsibility lies in restoring the vehicle to working order. A faulty repair must be redone at the owner's expense. Therefore, clearly describing the work performed on the invoice also protects the professional by clearly outlining what was done and what was not.
A customer may request that the replaced parts be returned to them. This is a legitimate and frequent request, particularly when they wish to verify that the replacement has actually taken place.
Anticipating this request avoids an unpleasant discussion. Indicating on the repair order whether the customer wishes to have the parts returned, and then stating on the invoice whether they have been given to them or whether they have waived this right, closes the matter cleanly.
Charging a flat fee without itemizing it. A customer who sees a single line item labeled "servicing" without a breakdown of the work performed is more likely to dispute the charge. A flat fee remains an option, provided that the coverage is clearly specified.
Omit the mileage. This is the most frequently overlooked detail, and the one that is missing on the day the guarantee is invoked.
Exceeding the quote without agreement. An additional item discovered during the intervention is dealt with by prior agreement of the client, not by a line added to the final invoice.
Confusing hourly rate and flat rate. Both billing methods are valid, but mixing the two on the same line makes the calculation incomprehensible.
Numbering as they go. The numbering sequence must remain continuous, without gaps or duplicates, even when an invoice is cancelled. Cancellation is done via a credit note.
Garages are affected like all businesses, according to the reform timetable.
Since September 1, 2026The obligation to receive electronic invoices applies to all businesses, including invoices from your parts suppliers.
Effective September 1, 2027The obligation to issue in electronic format extends to small and medium-sized enterprises as well as micro-enterprises.
A useful clarification for garages: the obligation to submit data in structured format applies to transactions between professionals. Repairs billed to individuals are subject to the transmission of transaction data to the administration, processed on the page e-reportingTo put your situation into context, the simulator answer in a few questions.
Is the model suitable for a body type? Yes. The parts and labor structure is the same, and vehicle identification remains essential.
How do I bill for a procedure covered by insurance? The invoice is issued in the client's name, including the insurer's name and claim number. Payment by a third party does not change the invoice recipient.
Should consumables be billed separately? Ingredients and consumables may appear as a separate line item or in a package, provided the customer knows what they are paying for.
What should be done if the customer refuses to pay? If the quality of the work or the price is disputed, the customer must pay to get the vehicle back before filing a claim. A detailed invoice and an accepted quote make this dispute significantly more difficult.
How long should invoices be kept? A copy of each invoice issued must be kept. For a garage, also keep the repair orders and accepted quotes, which together form the complete record of the service.
